What is ScheduleIX?
ScheduleIX is a done-for-you AI phone answering service. We build, train, and operate a voice agent that answers your business line 24/7, talks with callers like a real person, books appointments on your live calendar, and writes every call into your customer system. The part that makes us different is the "done-for-you": our team runs the whole thing. You approve how it sounds and what it says — you never log into software, tune settings, or fix anything.
How is this different from an answering service?
An answering service takes a message; you still make the callback, re-ask everything, and do the data entry. ScheduleIX finishes the call while the customer is still on the line — it checks your real calendar, books the slot, texts the confirmation, and updates your customer record before the goodbye. How is this different from a phone tree or IVR?
A phone tree makes your customer do the work — "press 2 for scheduling" — and most people hang up on them. ScheduleIX is the opposite: the caller just talks, like they would to a person. No menus, no "say or enter your account number," no robot voice. They say "my water heater died" and the agent handles it from there.
Do I have to build or configure anything myself?
No — and this is the whole point of the service. You fill out one intake form and sit for one kickoff call. Our team connects your calendar and customer system, builds the agent's knowledge from your website, price sheets, and past calls, tests it privately, and switches it on. After launch we keep operating it: monitoring calls, fixing gaps, and tuning it monthly. You will never see a settings panel.
How fast can we go live?
Standard deployments are live within 5 business days of your kickoff call. Single-location businesses with common tools (Google Calendar, HubSpot, Jobber, and similar) often go faster. Complex multi-location setups with custom integrations can take a bit longer — we tell you the real timeline in the quote, not after.
Do I keep my phone number?
Yes. Your number stays yours, published everywhere exactly as it is today. We answer behind it through call forwarding you control — send us everything, only after-hours calls, or only the calls your team can't pick up. Turning it off is one setting on your phone account, so you're never locked in technically.
What happens to my current receptionist?
Whatever you want — most of our customers keep her. The most popular setup is division of labor: your human owns the front desk and the walk-ins, and ScheduleIX takes the overflow, the lunch hour, and everything after 5pm. What kinds of businesses does this work for?

Can callers tell they're talking to AI?
Most don't. The voice is natural, it answers as fast as a person, and callers can interrupt it mid-sentence like a normal conversation — no walkie-talkie pauses. The tell with bad AI is usually rigidity, so we train each agent on your real calls until it handles the messy stuff: people who ramble, change their mind, or ask three things at once. What does it sound like? Can I pick the voice?
You choose from a set of natural voices during onboarding — male or female, warmer or more matter-of-fact, and we tune the pace and personality to match your business. A Long Island plumbing dispatcher and a med spa concierge should not sound the same, and they don't. You approve the voice on a real test call before anything goes live.
What happens when it doesn't know an answer?
It says so honestly — "That's a good question, let me have someone get back to you on that" — and routes the caller to a human or takes a priority message with a promised callback window. It never bluffs. Then the miss gets fixed: every "I'm not sure" is logged, our team writes the answer with you, and it usually becomes a solved question within a day. The agent you have in month three knows meaningfully more than the one that launched.
What about callers who hate talking to machines?
"Talk to a human" is always honored — instantly, no argument, no wearing them down first. That rule is built into every agent, and you decide where those calls go. In practice, the objection mostly comes from people burned by phone trees; when a voice answers immediately, knows their account, and solves the problem in ninety seconds, very few people ask for a human at all.
Can it really handle two calls at once? Ten?
Yes — unlimited simultaneous calls, which is something no human staff can offer at any price. The Monday-morning rush, a storm week, a radio ad that works too well: every caller gets answered on the second ring at the same time. Busy signals and hold queues simply stop being a thing your business has.
Does it make mistakes?
Sometimes — anything that talks makes mistakes, humans included. What matters is that mistakes get caught and can't repeat. Every call is recorded and transcribed; our team QA-flags anything off; and when you spot something wrong, one correction fixes every future call permanently — unlike coaching a human, it never forgets the correction. What if a call goes badly?
Open the dashboard, pull the recording, and push a correction — it applies from the very next call. We also flag concerning calls automatically and review them with you at your monthly check-in. And for the calls a machine should never finish — a furious customer, a real emergency — the agent hands off to a human by the rules you set.
Does it speak Spanish? Other languages?
English, Spanish, French, Portuguese, German, and Mandarin — and it switches mid-sentence if the caller does, no "press 2 para español." The transcript lands in your customer system in English either way, so your team can work any lead without a translator.

What tools do you integrate with?
CRMs: HubSpot, Salesforce, Pipedrive, Zoho, GoHighLevel. Field service: ServiceTitan, Jobber. Scheduling: Google Calendar, Outlook, Calendly, Acuity, and the calendars inside most practice-management systems. Anything proprietary connects through our webhook/API. Is my customer data private?
Yes, and it's in the contract, not just this page. Your data is isolated from every other customer's, encrypted in transit and at rest, never sold, and never used to train models shared with anyone else. Can it call out, or only answer?
Both. Outbound is where a lot of the ROI hides: instant callbacks to anyone who hangs up, web-form leads called within seconds of submitting, appointment recalls when customers hit their service interval, no-show rebooking, and review requests after finished jobs. Can I listen to the calls?
Every call — live or after the fact. The dashboard has recordings, transcripts, and plain-English summaries of every conversation, searchable like email. You can listen to a live call in progress and type a correction that takes effect on the agent's next sentence. Most owners check the morning digest — calls answered, appointments booked, anything flagged — and dip into recordings only when something's interesting.
What do you need from me to get started?
Three things: access to your calendar and customer system (limited accounts we help you create in about ten minutes), your business information (services, prices, hours, service area — the intake form walks you through it), and ideally some recorded calls or scripts so the agent learns how your business actually talks. What happens if I cancel?
Service runs through the end of your paid month. You get a 30-day window to export everything — recordings, transcripts, contact records — then we delete it on a defined schedule and destroy our access credentials. Your phone number was always yours, so callers notice nothing. No exit fees, no data hostage-taking.
Can it work after-hours only?
Absolutely, and it's a popular starting point. Your team answers 9 to 5 like always; ScheduleIX takes nights, weekends, holidays, and the calls that ring more than twice during the day. It's the lowest-commitment way to prove the value — most after-hours customers expand coverage within a couple of months once they see the booked-appointment numbers.
